Our Booking & Program Policies

We know life can be busy, so we’ve made our booking process as simple and flexible as possible. This section covers all the important details - how to book, change, or cancel sessions, timeframes to keep in mind, and what to expect along the way.

 

Whether you're new to Project Epic or just need a quick refresher, you'll find everything you need right here.

BOOKINGS & WAITLIST

To book a place in any of our programs or make changes to your current supports, please email us.

 

We keep group sizes small to maintain quality and support meaningful progress toward individual goals. When a program is full, participants will be placed on a waitlist and contacted as soon as a spot becomes available or if an extra session is offered.

School holiday programs are sent to families 4–5 weeks in advance. These fill quickly, so early booking is essential to secure a place.

CANCELLATION POLICY

To ensure smooth operation and consistency in our programs, all cancellations require a minimum of seven days' notice before the scheduled session.


Cancellations made within seven days of the program will incur a 100% cancellation fee.
This policy helps us maintain safe, well-organised programs that support our participants in reaching their social and emotional goals.

TERM BOOKINGS NOTICE

Term bookings will automatically continue into the next term unless we receive written notice requesting changes or cancellation. If you would like to update or cancel your current booking, please email us before the start of the new term.

SERVICE AGREEMENTS

Your Service Agreement will outline the programs you’ve selected, along with the corresponding invoiced line items for those supports. You’ll receive your agreement prior to your first session.
